Job Position: Management Analyst (Multiple Levels)
Job Location: Naval Surface Warfare Center, Port Hueneme Division (NSWC PHD)
Summary:
The Management Analyst will provide support to NSWC PHD by delivering comprehensive administrative, technical, and logistical services. Responsibilities include supporting department leadership, managing front desk operations, maintaining access control, and performing other related duties to ensure efficient and effective departmental operations.
Tasks and Responsibilities:
- Provide general administrative assistance, including preparing personnel records, exit materials, answering phone calls, and greeting/assisting visitors.
- Schedule meetings and conference rooms.
- Recommend alternatives to improve operational efficiency and cost savings.
- Maintain metrics, trackers, records, and material transmittal forms, ensuring accuracy and completeness.
- Coordinate management schedules, including standard meetings, interviews, conference room reservations, and leadership calendars.
- Identify, develop, collect, and report metrics as required.
- Support the development, review, and update of technical documentation, ensuring compliance with NSWC PHD processes, policies, and procedures.
- Prepare and maintain conference rooms for meetings and ensure required materials are available.
- Coordinate with logistics representatives to arrange deliveries and pickups.
- Issue, deactivate, and maintain records for employee and visitor badges.
- Enforce building policies and procedures.
- Maintain and archive visitor logs, delivery logs, checklists, and other required records.
- Create and post building signage, including policy updates, schedules, and maintenance notices.
- Prepare and update desk/office nameplates and reserved parking signs.
- Manage lost and found items.
- Maintain building seating assignments and associated records.
- Manage desk key inventory and issue logs.
- Maintain and update muster lists and assist with evacuation procedures.
- Track and manage special access badges and associated logs.
- Ensure front desk and lobby areas remain clean and organized.
- Assist security personnel with badge report retrieval and verification.
- Verify visitor documentation before granting access.
- Secure front entrances at closing in coordination with security staff.
- Maintain and update visitor access request logs and calendars.
- Prepare and distribute updated security checklists.
- Support the development, planning, coordination, and tracking of projects, ensuring deadlines and deliverables are met.
- Perform other job-related duties as assigned.
Required Qualifications:
- Current SECRET Security Clearance.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and excellent organizational skills.
- Excellent written and verbal communication skills.
- Ability to work effectively under pressure.
- Ability to maintain professional working relationships and demeanor.
- Dependable, with strong time management skills.
- Ability to remain seated for extended periods (50% of the time) and alternate between sitting, standing, and walking.
Preferred Qualifications:
- 1–3 years of knowledge or experience in the DoD or government environment.
Work Environment/Physical Requirements:
- Primarily office environment.
- Ability to sit for long periods and perform repetitive motion (keyboarding).
- Occasional work in hangar and flight line areas.
- Noise levels are usually moderate but may be loud near aircraft parking areas.
Management Analyst I – $52,000.00
- Education: Bachelor’s Degree in a business or technical field
- Experience: Three (3) years experience in engineering/science management, operations research analysis or financial/cost analysis
Management Analyst II – $60,000.00
- Education: Bachelor’s Degree in a business or technical field
- Experience: Seven (7) years experience in engineering/science management, operations research analysis or financial/cost analysis. Significant experience in U.S. Navy programs or operations.
Management Analyst III – $70,000.00
- Education: Bachelor’s or Advanced Degree in a business or technical field
- Experience: 10 or more years experience in engineering/science management, operations research analysis or financial/cost analysis. Significant experience in U.S. Navy programs or operations
Compensation and Benefits:
Position type: Full Time
Classification: Exempt
Hours to Work: Monday through Friday during standard business hours; additional hours as needed to fulfill position responsibilities.
