Job Position: Secretary II 

Job Location: North Island, San Diego, CA (CNAP HQ) 

Summary:

Provide clerical support for Commander Naval Air Forces (CNAF) Squadron Administrative Support Services. The Secretary maintains a close and highly responsive relationship to the day-to-day activities and performs various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.

Requirements: 

  • Perform administrative duties such as answering telephones, greeting visitors to the office and department, operating office equipment and answering questions regarding office procedures and policies. 
  • Maintain office files including administering receipt, distribution processing, control and distribution of all incoming and outgoing correspondence, proper filing procedures, ensuring accurate and up-to-date files, proper record disposal, and updating/maintaining files. 
  • Preparing and editing correspondence, reports, and presentations. 
  • Supporting the HR department with employee onboarding, document filing, and benefits administration.
  • Manage and maintain a comprehensive database of employee training records and certifications.
  • Coordinate training schedules, sessions, and logistics, ensuring all participants are informed and prepared.
  • Ensure all employees are up to date on mandatory training requirements and certifications.
  • Monitor and report on training completion rates, identifying trends and areas for improvement.
  • Generate reports on training activities, outcomes, and compliance for management.
  • Handling confidential and sensitive information with discretion and professionalism.
  • Proofread and edit a wide range of documents, including articles, blogs, reports, and marketing materials.
  • Performs other job-related duties as assigned by the Site Manager and Assistant Site Manager. 

Qualifications:

  • Must have a current SECRET Clearance
  • Proficient in using Microsoft Office applications (i.e., Word, Excel, PowerPoint, and Outlook)
  • Strong attention to details and organization skills
  • Excellent written and verbal communication
  • Ability to work well under pressure.
  • Ability to maintain effective working relationships, professional demeanor, and attitude.
  • Must be dependable.
  • Knowledge of Navy correspondence and records management procedures and Navy squadron organizational structure/relationships is preferred however knowledge of correspondence and record management procedures used by Department of Defense (DoD) components other than the U.S. Navy are acceptable.
  • Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking.

Work Environment

May be required to work in areas in or near a hangar/ flight line that may be noisy at times. May be exposed to moderate discomforts, such as heat, cold and wind. May be required to wear personal protective equipment when in or passing thru a hazardous area.

  • Hangar and flight line (infrequent)
  • The noise level in the work environment is usually moderate.

Compensation and Benefits: 

Position type: Full Time

Classification: Non-Exempt

Hours to Work: Monday through Friday, eight (8) hours per day. Evenings or weekends may be required as job duties demand. Hours are subject based on the needs of the squadron. 

Pay Rate: $24.45 per hour 

Health and Welfare Benefit: $6.00 per hour 

Under Union International Association of Machinists (IAM) District 725 

Benefits: Medical, dental, vision, Life, LTD, 401(k), FSA, Paid Holidays, Sick Leave, and Vacation 

Education: High School Diploma or equivalent 

Requirement: Must be authorized to work in the United States 

Clearance Level: Must be able to obtain and retain a Secret Security Clearance
