Job Position: Travel Clerk II 

Job Location: Whidbey Island, WA (VAQ-129)

Summary:

VCT is seeking a Travel Clerk II to support Commander, Naval Air Forces (CNAF) Squadron Administrative Support Services by providing administrative and travel coordination assistance. This role is responsible for preparing, reviewing, and processing travel authorizations, vouchers, and reimbursements in accordance with company policies, government regulations, and contract requirements. The ideal candidate demonstrates strong attention to detail, familiarity with travel systems and procedures, and the ability to manage multiple travel requests efficiently.

Duties and Responsibilities: 

  • Perform Administrative duties such as answering telephones, greeting visitors to the office and department, operating office equipment and answering questions regarding office procedures and policies. 
  • Maintain office files including administering receipt, distribution processing, control and distribution of all incoming and outgoing correspondence, proper filing procedures, ensuring accurate and up-to-date files, proper record disposal, and updating/maintaining a tickler file for timely submission of recurring reports
  • Maintain tickler files to ensure timely submission of recurring reports.
  • Process command travel requests and generate travel authorizations in the Defense Travel System (DTS) for active duty and government service employees.
  • Perform duties as a Non-DTS Entry Agent (NDEA), including reviewing and submitting travel documents in DTS.
  • Conduct briefings on travel policies, procedures, regulations, government travel card usage, and authorized reimbursable expenses.
  • Build and generate reports using DTS and Citi Bank systems.
  • Serve as a Citi Bank Agency Program Coordinator (APC), ensuring compliance with government travel card policies.
  • Activate and deactivate Government Travel Charge Cards (GTCC) for personnel departing for or returning from official travel.
  • Create DTS profiles and GTCC applications for newly assigned personnel during command check-in.
  • Provide coverage and support for office resource gaps during periods of employee leave and/or other staffing shortages within the site.
  • Ability and willingness to cross-train in other site-specific functions to support operational continuity and changing business requirements.
  • Perform other job-related duties as assigned by the Assistant Site Manager or Site Manager.

Required Qualifications: 

  • Must be able to obtain and maintain a U.S. Secret Security Clearance
  • Must be legally authorized to work in the United States without the need for visa sponsorship, now or at any time in the future.
  • Must be able to obtain and maintain facility credentials/authorization.
  • Experience and/or familiarity with one or more of the following systems is desired:
  • Defense Travel System (DTS)
  • Command Pay/Personnel Support System (PASS)
  • Navy Standard Integrated Personnel System (NSIPS)
  • Transaction Online Processing System (TOPS)
  • Master Military Pay Account (MMPA)
  • Electronic Service Records (ESR)
  • Navy Family Accountability and Assessment System (NFAAS)
  • Official Military Personnel File (OMPF)
  • NAVFIT98 (FITREPs/Evals)
  • PERSTEMPO, SHARP, BOL Document Services
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Access.
  • Familiarity with government systems, databases, and administrative applications is preferred.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and manage multiple tasks effectively in a fast-paced environment.
  • Ability to work effectively under pressure while maintaining accuracy and professionalism.
  • Ability to establish and maintain effective working relationships with employees, management, customers, and other personnel.
  • Demonstrated professional demeanor and positive attitude.
  • Dependable and reliable, with strong time management and organizational skills.
  • Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking. 
  • Attendance and Reliability: Regular and reliable attendance is an essential function of this position.

Work Environment/Physical Requirements: 

  • Primarily an office environment. 
  • Occasional work in hangar or flight line areas with moderate to high noise levels. 
  • May be exposed to environmental conditions such as heat, cold, or wind. 
  • May require use of personal protective equipment (PPE) in designated areas. 
  • Requires extended periods of sitting and repetitive motions (e.g., typing). 

Compensation and Benefits: 

  • Position Type: Full-Time
  • Classification: Non-Exempt
  • Work Schedule: Monday through Friday, eight (8) hours per day. Evenings or weekends may be required based on operational needs.
  • Base Rate: $20.32 per hour
  • Health & Welfare: $4.93 per hour

  • Education Requirement: High School Diploma or equivalent

Security Clearance:

Applicants must have an active security clearance and/or the ability to obtain and maintain a US Government Security Clearance. Selected candidates will be subject to a government security investigation and must meet eligibility requirements to obtain a DoD Government- granted security clearance. Individuals will be subject to a background investigation to include but not limited to, criminal history, employment and education verification, drug testing, and creditworthiness.
